Which AI tools does your company size actually need?

Fewer than you think, and different ones at every size. Below: 61 AI tools across 13 marketing jobs — 22 of them rising fast in the directories — each mapped to the size where it earns its slot: solo, a team of 2–10, or 10–50. Every price carries the date we checked it; every “not yet” says what would change the answer.

Research verdicts unless a card links to our review. No scores on this page on purpose — see how the radar is built.

The sizing ladder

Company size is the variable most tool lists ignore, and it changes the answer more than budget does. Find your rung; the tool cards below are sorted by it once you pick it.

1 person, maybe a freelancer

Solo

€0–100/mo in tools

One tool per job, and only for jobs you do every week.

Earns its slot

  • +One €20 assistant (research, writing, image generation live inside it)
  • +A free meeting notetaker if you sell on calls
  • +A scheduler with AI writing on the free tier
  • +Rung-one automation (Zapier/Make free tiers) — three automations, not thirty

Not yet

  • Anything priced per seat — you are the seat
  • Sales agents, enrichment credits, AI SDRs
  • AI-visibility trackers — a monthly manual log is enough
  • Data-analysis platforms — your data fits in one spreadsheet tab

You outgrow Solo when a second person needs the same login, or when a weekly task takes longer than the tool that would automate it costs.

2–10 people

Small team

€100–500/mo in tools

Pay for shared memory: meetings, CRM, and one automation layer everyone can read.

Earns its slot

  • +A paid notetaker that writes to the CRM
  • +A support bot on your own docs once tickets pass ~50/month
  • +An agent-style automation tool (Lindy/Relay class) for hand-offs between people
  • +A cheap AI-visibility tracker once you publish weekly

Not yet

  • Enterprise AEO platforms and $400+/mo visibility suites
  • AI SDRs at $1,000+/mo — a human with Apollo + Instantly outsells them at this size
  • A data warehouse: Rows or a spreadsheet with AI covers you

You outgrow Small when three people run the same workflow differently, or when a single tool's per-seat bill passes €100/mo.

10–50 people

Growing

€500–2,500/mo in tools

Buy consistency: the tool that makes ten people work one way beats the clever one.

Earns its slot

  • +Per-seat notetaking and CRM with real admin controls
  • +Outbound tooling with enrichment (Clay/Apollo class) once there is an SDR
  • +A proper AI-visibility platform if organic and AI search drive pipeline
  • +Support automation with resolution-based pricing you can forecast

Not yet

  • Point tools that duplicate a feature your suite already ships
  • Agent builders nobody owns — every agent needs a named human
  • Custom-built micro-tools without a maintainer

Past 50 people you are shopping enterprise software — a different site's job. Our radar stops here on purpose.

Three rules before you buy anything

  1. 01

One tool per job, for jobs you do weekly

A tool for a monthly task is a subscription for eleven idle months. Below, every job carries the size at which it stops being a monthly task.

  2. 02

Buy for the company you are, not the one you're pitching

Per-seat pricing, enrichment credits and visibility suites are priced for teams. A solo operator who buys them pays the team rate for one chair.

  3. 03

Do the division before you pay

Most rising tools meter credits, not months. Convert the plan's credits into finished output — clips, emails, resolutions — and price that. The Toolbox's five clauses apply to every row here.

The five pricing clauses live on The Toolbox; the yearly cut-your-stack ritual is in the marketing tool audit.

The radar

Pick your size, then the job you're hiring a tool for. Cards sort by fit; grey ones stay visible so you can see what you are not buying yet, and why.

Some links below are affiliate links: if you buy through them we may earn a commission at no extra cost to you. It funds the testing budget and never changes a verdict — affiliate policy.

1 · Your size

2 · The job

62 tools shown. Solid dot = earns its slot · dashed = only with the trigger · grey = not yet.

Assistant & research What thinks with me?

Size rule: One €20 assistant covers Solo; a research tool is a second subscription only when you publish weekly.

Research, writing, image generation, data analysis and a first-draft of everything — in one subscription.

SoloEarns its slotSmall teamEarns its slotGrowingEarns its slot

You need it when day one. This is the tool the rest of the radar is measured against: every other row has to beat 'my assistant already does that'.

the €100+ tiers buy limits, not intelligence — upgrade only after documented quota pain.

The one subscription every size needs. Pick by the work you do most: Claude for writing-heavy, ChatGPT for breadth, Gemini for the Workspace bundle.

The most-cited 'agent' of the year. Impressive on research chores, expensive per finished result; a trial, not a subscription, at every size.

Consensus

Search engine over peer-reviewed papers, with a consensus meter per question.

two paid tiers with overlapping names (Premium vs Pro) cap different features — read both before buying.

Fathom

Agents & automation What runs without me?

Size rule: Rung one (Zapier/Make) first; agent builders earn their slot when a hand-off between two people is the bottleneck.

Zapier

Established

Rung one: connect app A to app B with the most integrations on the market, AI steps included.

How the radar is built

Where the names come from. Monthly, we read the new-and-trending feeds of the large directories and keep the tools that do a marketing job a one-person operation or a small team actually has. Directory listings are a pulse, not a verdict: they are paid for, sometimes, and they never say who a tool is for.

What we add. The size mapping and the trigger. For each tool we check the vendor's own pricing page on the date shown, read the 2025–26 sentiment on G2, Trustpilot and Reddit, and answer one question per size: would this earn its slot next to a €20 assistant at that headcount?

What this page is not. A test. Cards without a review link are research verdicts. When a tool earns a 90-day field test, the card gets the link and the verdict changes to what we saw. Tools that shut down stay on the radar struck through, so the page is never mistaken for ink.

How we make money. Some links are affiliate links — plain vendor links where no program exists or is approved yet. Neither changes a size verdict; the affiliate policy has the details.

Questions we actually get

How do you decide which company size a tool fits?

Three tests per size: does the job happen weekly at that headcount, does the tool's pricing unit (seat, credit, conversation) match how that company actually works, and is there a cheaper thing already in the stack that does 80% of it. 'Earns its slot' means all three pass. 'Only with the trigger' means one of them depends on a condition we name on the card. 'Not yet' means at least one fails outright.

What does 'rising' mean on the radar?

A tool that appears in the new-and-trending lists of the big directories and shows real 2025–26 adoption in G2, Trustpilot or Reddit sentiment — but that we have not run our 90-day field test on yet. 'Established' tools have been in the market long enough that the verdict is about fit, not survival. 'Watch' is interesting but unproven, or a category we think most readers should skip for now.

Are these verdicts based on tests or research?

Research verdicts unless the card links to our review — then the linked review says exactly what was tested. Research verdicts are built from the vendor's own pricing page (checked on the date shown), directory listings, and review-site sentiment. We say this on the page because scores without tests would be theatre; that's also why there are no scores here.

Why does a small company not need a data platform?

Because below roughly fifty people, all the marketing data you have fits in one spreadsheet tab, and your €20 assistant will read that tab, chart it and tell you what changed. A data platform earns its slot when three people need the same live numbers from three systems — not before. The same logic applies to AI SDRs, enterprise AI-visibility suites and resolution-priced support bots: they solve a volume problem you don't have yet.

How often is this page updated?

Prices are re-checked quarterly with the Toolbox; the tool list is revisited monthly against the directories' new-tools feeds. The date at the top is the last full pass. If a price here disagrees with the vendor's page, the vendor changed it after our check — trust the vendor and tell us.
